HeyOrca alternatives split by the gap that pushes an agency out. The groups below match each HeyOrca gap to the tools that close it, starting with approvals. Each group also says where RecurPost fits and where it does not.

Why Agencies Leave HeyOrca

HeyOrca built a strong client approval workflow and priced everything around it. The HeyOrca gaps below drive most departures.

HeyOrca ended direct X publishing on April 6, 2026, after X raised its API prices. X profiles inside HeyOrca now work as placeholder accounts. HeyOrca’s approval flow still runs on X drafts. Someone on your team then publishes each X post by hand from a phone notification. An agency roster with active X clients needs a second tool alongside HeyOrca or a new scheduler.

HeyOrca prices per client workspace. HeyOrca Basic costs $59 per workspace per month and Pro costs $149. Each HeyOrca workspace caps at 10 social profiles. A five-client agency on Basic pays $295 per month before any add-on, and HeyOrca’s 40 percent discount at five or more workspaces brings that to about $177. Most HeyOrca alternatives charge by account, brand, or seat instead. Per-account pricing favors switching past two or three clients.

HeyOrca ships no bulk CSV upload, no RSS import, and no queue-based scheduling. HeyOrca’s bulk create tool drops empty placeholders on a calendar day. Your team then fills each HeyOrca placeholder by hand.

HeyOrca sells reporting, inbox, and listening as add-ons on the Basic plan:

HeyOrca Basic add-onPrice per workspace per monthCoverage
Social Reports$59Facebook, Instagram, LinkedIn, TikTok
Social Inbox$39Comments and messages
Social Listening$39Instagram and Facebook only

HeyOrca’s reports carry no agency logo at any tier. HeyOrca also leaves a few connections out:

  • HeyOrca does not publish to Bluesky or Mastodon.
  • HeyOrca does not publish to Facebook Groups or Facebook personal profiles.
  • HeyOrca offers no Zapier connection, no Make connection, and no public API.

An agency with two X-active clients and a CSV-built monthly calendar cannot stay on HeyOrca at any plan level. An X-free agency with one or two clients and a large review committee has a different answer. HeyOrca includes unlimited users on every paid workspace, and the staying-on-HeyOrca section below covers that case.

What a HeyOrca Replacement Has to Cover

HeyOrca’s workspace pricing unit hides the real comparison. One HeyOrca workspace holds up to 10 social profiles and unlimited users. HeyOrca alternatives price per social account, per channel, per brand, or per user seat. Count the social accounts across all your clients first, then count the people who touch HeyOrca. HeyOrca’s unlimited users make per-seat rivals expensive fast, so the headcount often decides the switch.

Run five checks against that roster:

  1. Confirm the platforms your clients need, starting with X. Check Bluesky and Facebook Groups too, because HeyOrca never supported them.
  2. Map your approval chain against the replacement. Check who approves at each step and what happens when an approver misses a deadline. Several HeyOrca rivals gate approvals behind higher tiers.
  3. Check each replacement’s volume tools. Agency schedulers such as RecurPost and Publer offer bulk CSV upload, RSS import, and queue scheduling. Calendar-first planners like HeyOrca do not.
  4. Price each replacement’s loaded cost: the base plan plus every add-on and per-user fee your roster forces. HeyOrca Basic with reports, inbox, and listening reaches $196 per workspace. Vista Social’s $79 plan becomes $108 once X publishing joins.
  5. Count each replacement’s report platforms rather than its report features. HeyOrca’s reporting stops at four networks, and some rivals stop at five or six.

You Want HeyOrca’s Approval Workflow With Deadlines That Act and Per-Client Roles

Closest fitRecurPost for approval stages with deadlines and per-client roles, Vista Social for approvals plus listening
RecurPost fits whenEvery post needs internal review and client sign-off, a missed deadline must not stall the calendar, and each person needs different access per client
Vista Social fits whenApproval depth plus listening and branded reporting justify the budget
HeyOrca still fits whenThe client relationship rests on a branded portal on your own domain

Approvals are the gap HeyOrca built its product around, so this group decides most HeyOrca switches. HeyOrca moves a post through Draft, Awaiting approval, Approved, and Revise. HeyOrca can also require several named people to approve one post. HeyOrca reminds approvers 24 hours, 3 days, or 7 days before a post’s publish time. HeyOrca takes no action on its own when an approval stays overdue.

RecurPost runs approvals as a staged workflow on a Kanban board. The account owner sets up the stages once for the whole account, because an agency’s review process stays the same from one client to the next. Each RecurPost post then moves across the board as a card with an assignee, labels, and a media preview. RecurPost’s default workflow chains four steps:

  1. A writer drafts the post in the Writing stage.
  2. A manager reviews the post in the Manager Review stage within 48 hours, or RecurPost escalates it.
  3. The client approves the post in the Client Review stage within 72 hours, or RecurPost moves the post one day later.
  4. A client who requests changes sends the post back to Writing with their comments.

RecurPost lets the owner rename, add, and remove stages. The owner sets each stage’s timeout at 4, 8, 24, 48, or 72 hours, or at 7 days. RecurPost warns the assigned role at 50 percent and 80 percent of that timeout and again when the stage is overdue. The owner also picks what RecurPost does once the timeout runs out:

  1. RecurPost holds the post in its stage until someone acts.
  2. RecurPost approves the post automatically and moves it on.
  3. RecurPost escalates the post to the next approver.
  4. RecurPost reschedules the post so a late client review never publishes on the wrong day.

RecurPost’s reschedule rule matters most at the client review stage. A client who goes quiet on a Friday launch post triggers a reschedule rule, and the post moves to the next day instead of publishing unapproved or missing its slot.

RecurPost controls who acts at each stage through roles. RecurPost starts every account with these role templates:

RecurPost roleWhat the role can do
ContributorWrite their own drafts and send them for review, with no access to other people’s posts or approvals
WriterWrite and edit posts, manage the content library, and reply in the inbox
EditorApprove posts at internal review stages, edit anyone’s work, and manage the inbox
PublisherPublish and schedule, handle client approvals, export reports, and manage the team

RecurPost also lets the owner build custom roles by ticking individual permissions. RecurPost’s permissions reach every part of the product, from posts and approvals to the inbox, paid ads, and client review. Turning off a section such as Paid ads hides that page from the member’s sidebar entirely. A member who tries a blocked action sees the exact permission to ask the owner for.

RecurPost assigns roles per workspace, so one person can hold different roles for different clients. A freelancer can be a Writer for one client, an Editor for a second, and have no access to a third. RecurPost also names an Account Manager for each workspace. RecurPost’s Account Manager is a guaranteed second approver and can approve on the client’s behalf, with every such approval logged.

RecurPost sends each role only the alerts for stages that role works in. Each alert goes out by email and in the mobile app:

  • RecurPost alerts a member when a post is assigned to them.
  • RecurPost alerts approvers when posts are waiting for their review.
  • RecurPost alerts the writer when a post is approved or sent back with changes.
  • RecurPost alerts the assigned role as a stage nears or misses its timeout.
  • RecurPost alerts the team when a client approves, rejects, or receives an urgent approval request.

A six-client agency with two freelance writers and one account manager maps onto RecurPost’s default workflow directly. The freelancers hold the Writer role only in the workspaces they cover. The account manager clears Manager Review within 48 hours from the board. Each client opens RecurPost’s shareable calendar without logging in, then approves each post or requests changes with one button.

RecurPost onboards clients without passwords. The client receives an email or link invite, connects their own accounts, and never shares credentials. RecurPost includes roles, permissions, and the Kanban board on every plan. That coverage starts with the $9 Starter plan. RecurPost includes client workspaces and the internal and external approval workflow on the Agency plan at $79 per month.

Vista Social comes closest when listening matters too. Vista Social runs link-based client review, with multi-stage approval workflows from its Advanced tier. Vista Social sells 18-platform listening as an add-on, adds X for $29, and includes white-label reports. Vista Social’s Professional plan costs $79 for 15 profiles and 2 users. Sendible matches RecurPost’s password-free client onboarding with Client Connect from its $99 Plus plan, and Sendible’s per-plan value thins out toward 20 or more accounts.

You Lost Direct X (Twitter) Publishing

Closest fitRecurPost, or Vista Social when listening matters
RecurPost fits whenSeveral clients post to X daily and link posts need to keep flowing
Vista Social fits whenListening and report depth justify a $108 loaded monthly cost
HeyOrca’s workaroundPlaceholder plus manual publishing covers a few X posts a month

RecurPost publishes to X on every paid plan. RecurPost’s X Wallet, funded by the account from $10.80, pays X’s $0.20 per-link posting fee, so agencies keep posting link content without setting up API billing per client. Vista Social restores X for $29 per month on top of its $79 Professional plan, and that add-on includes boosting and X analytics. Metricool sells X publishing as a paid add-on from its $25 Starter tier. Buffer and Publer still publish to X on standard paid plans.

HeyOrca’s placeholder workaround deserves a fair hearing. HeyOrca’s approval flow still covers X drafts, and notification publishing gets each post out. An agency posting to X a few times a month can live with HeyOrca’s workaround. An agency posting daily cannot.

Your HeyOrca Bill Scales With Every New Client

Closest fitRecurPost past 3-4 clients, or Metricool for one-profile-per-network clients
RecurPost fits whenThe roster passes three or four clients
Metricool fits whenEach client needs only one profile per network
HeyOrca still fits whenFew clients share many internal users

RecurPost’s Agency plan covers 20 social accounts for a flat $79 per month. RecurPost’s Agency plan includes a separate workspace per client and 3 team members, and extra accounts cost $4 each. RecurPost’s Agency base price fits five clients with four profiles apiece. The pricing section below compares that roster against HeyOrca.

Metricool’s Starter plan holds 5 client brands for $25 per month or 10 brands for $45. Metricool allows one profile per network in each brand. Publer prices each account at roughly $5 to $10. Publer’s model stays cheap for small rosters and climbs as accounts stack up.

Buffer fits a solo operator, and its per-channel pricing works against an agency roster. Buffer’s free plan covers 3 channels with 10 scheduled posts each, and Essentials costs $6 per channel per month. Buffer puts approvals only on its Team plan at $12 per channel. Buffer also asks for credentials at connection, and a failed Buffer post shows no error. The agency finds out when the client does.

HeyOrca’s unlimited users make a two-client agency with nine internal users cheaper on HeyOrca. The pricing section below runs that roster in full.

You Need Bulk CSV, RSS Import, or Queue Scheduling

Closest fitRecurPost at agency volume, Publer on price for small rosters
RecurPost fits whenAgency volume needs CSV, RSS, drafts, and per-client libraries
Publer fits whenSmall rosters want bulk tools at the lowest per-account price
SocialBee fits whenCategory-based recycling is the whole reason to switch

RecurPost takes CSV bulk uploads of hundreds of posts. RecurPost also imports content from RSS feeds and Google Alerts. RecurPost keeps a drafts space and a separate content library for each client. HeyOrca offers none of these bulk features. HeyOrca’s content library cannot publish directly, and its bulk tool drops placeholders your team still fills by hand.

Publer handles bulk well at its price point. Publer offers CSV upload, RSS automation, and queue scheduling from about $5 per account. Sendible covers CSV and RSS imports on its plans as well. SocialBee built its product around category-based content recycling from $29 per month. SocialBee adds approvals and CSV import at its $49 Accelerate tier.

You Want Analytics Past Four Platforms Without Add-On Fees

Closest fitMetricool
Metricool fits whenReporting across 11 platforms plus ads beats HeyOrca’s $59 four-platform add-on
Vista Social fits whenClients expect branded report PDFs with competitor data inside
RecurPost fits whenClients want white-label PDF reports across 10 platforms and no competitor benchmarks

Metricool reports on 10 social networks, your own website, and three ad platforms:

Metricool reports onCoverage
Social networksFacebook, Instagram, Threads, Bluesky, LinkedIn, Pinterest, TikTok, Google Business Profile, YouTube, Twitch
WebsiteYour own site analytics
AdsMeta, Google, and TikTok ads

Metricool’s free plan covers 1 brand with 20 posts per month, without X or LinkedIn publishing. Metricool Starter runs $25 per month for 5 brands with unlimited publishing. HeyOrca’s four-platform reports cost $59 per workspace per month as a Basic add-on.

Vista Social competes here at a higher price. Vista Social’s plans from $79 include a custom report builder and white-label reports. Vista Social adds competitor comparison and scheduled report delivery on the same plans.

RecurPost’s Custom Reports builder assembles 200+ metrics across 10 platforms into drag-and-drop white-label PDF reports. RecurPost’s reports include audience demographics and Meta ads results. RecurPost offers no competitor benchmarking, so an agency that sells benchmarking fits Metricool better.

You Need Real Social Listening or Enterprise Monitoring

Closest fitSprout Social or Hootsuite, Agorapulse for less
Sprout Social or Hootsuite fits whenHeyOrca’s Instagram-and-Facebook listening add-on is not enough
Agorapulse fits whenListening at a lower per-user price works with one-step approvals
RecurPost does not fitRecurPost has no social listening or sentiment analysis at any price

HeyOrca’s listening add-on watches Instagram and Facebook only, with no keyword monitoring and no mention alerts. Sprout Social and Hootsuite fit when listening drives the switch, and both publish a per-seat price. Sprout Social’s Essentials plan runs $99 per seat monthly ($79 annual) and Standard runs $249 monthly ($199 annual). Sprout Social sells listening as an add-on from Standard upward. Hootsuite’s annual plans run $99 to $399 per user per month, and Hootsuite adds approvals at the $399 Advanced tier. Agorapulse covers listening at $99 per user monthly on Standard, with one-step approvals from its $149 Professional plan.

RecurPost does not compete in this group. An agency that sells listening reports should shortlist Sprout Social, Hootsuite, or Agorapulse and treat the other tools here as schedulers.

Where RecurPost Fits a HeyOrca Team, and Where It Does Not

RecurPost fits the roster that broke HeyOrca’s per-workspace pricing. A five-client agency with 20 accounts and two X-active clients shows the fit. RecurPost covers all 20 accounts for a flat $79 with a separate workspace per client. RecurPost publishes the X clients’ posts through included X support, and the account-funded X Wallet pays the link fees. RecurPost loads the agency’s content calendar from CSV rather than placeholder by placeholder. Each post moves from writer to account manager to client on the Kanban board, and a client who misses the 72-hour review window gets the post rescheduled rather than published unapproved. RecurPost handles 850+ documented platform failure types, so a failed post surfaces with a reason instead of disappearing quietly.

RecurPost does not fit a HeyOrca team that depends on any of these:

  • RecurPost has no social listening and no sentiment analysis. HeyOrca at least sells Instagram and Facebook listening as a $39 add-on.
  • RecurPost charges $20 per month per team member past the three included on Agency. HeyOrca includes unlimited users in every paid workspace.
  • RecurPost has no branded client portal on a custom domain. HeyOrca’s portal and interface polish have no RecurPost equivalent.
  • RecurPost offers no competitor benchmarking.
  • RecurPost does not publish to Snapchat and has no link-in-bio product. HeyOrca ships a link-in-bio with click tracking on Basic.
  • RecurPost publishes X posts over 280 characters only when the client has their own X Premium subscription.

Agencies that moved from HeyOrca to RecurPost did it for X coverage, volume tools, and flat pricing. RecurPost case studies show which agency rosters made that trade and why. RecurPost’s RecurPost vs HeyOrca comparison walks through both tools feature by feature when HeyOrca is your only other candidate.

The Pricing Math, Both Ways

A two-client agency with nine internal users stays cheaper on HeyOrca. Two HeyOrca Basic workspaces cost $118 per month with unlimited seats. RecurPost Agency needs $79 plus six extra members at $20 each, which totals $199. HeyOrca costs $81 a month less for that roster.

A five-client agency with 20 total accounts flips the answer. HeyOrca Basic costs $295 across five workspaces, or $177 with the multi-calendar discount. RecurPost Agency covers all 20 accounts for $79 with the approval workflow and X publishing included. RecurPost saves $98 a month against HeyOrca’s discounted price, and more once any workspace needs HeyOrca’s $59 reports add-on.

An analytics-led five-client roster runs $25 a month on Metricool Starter, which holds 5 brands with reporting across 11 platforms plus ads. RecurPost Agency covers the same roster’s 20 accounts for $79 with white-label PDF reports across 10 platforms. Metricool puts client approvals on its $67 Advanced tier, so approval-heavy teams pay more there.

An approval-heavy agency that also needs X and listening lands on Vista Social at $183 per month. Vista Social’s total is the $79 plan plus $29 for X and $75 for listening. RecurPost Agency covers the same roster’s approval workflow and X publishing for $79 and adds no listening at any price. HeyOrca Pro costs $149 for one workspace, with listening that stops at Instagram and Facebook and no direct X.

When Staying on HeyOrca Is the Right Call

HeyOrca keeps three strengths that matter most to a small, review-heavy agency:

  1. HeyOrca runs a branded client portal on your own custom domain.
  2. HeyOrca includes unlimited users per workspace, which makes it the cheapest option here for large teams with few clients.
  3. HeyOrca reminds approvers automatically before each publish time and lets several named people approve one post, which suits a large client review committee.

An agency with one to three clients, no X needs, and a large stakeholder review process fits HeyOrca better. HeyOrca’s per-workspace model punishes a ten-client roster but protects a two-client one. HeyOrca’s 40 percent discount at five or more workspaces softens the middle. Moving that agency to a per-seat tool would raise its costs and weaken its client review experience at the same time.

Moving Off HeyOrca

HeyOrca has no public API and no Zapier connection, so nothing exports automatically. A move from HeyOrca to RecurPost takes five steps:

  1. Copy captions from HeyOrca’s content library and download media before your last billing date.
  2. Screenshot any HeyOrca approval history you need for client records.
  3. Invite each client to connect their accounts to RecurPost through a password-free link instead of collecting passwords again.
  4. Import the last 6 months of posted content from each connected social account, which gives RecurPost a working content library without CSV formatting.
  5. Rebuild your HeyOrca approval steps as RecurPost workflow stages, then invite teammates with a role in each workspace they cover.

HeyOrca Alternatives FAQs

Does HeyOrca still publish to X (Twitter)?

HeyOrca no longer publishes to X directly. HeyOrca removed its X integration on April 6, 2026, citing X’s API price increases. HeyOrca turned existing X profiles into placeholder accounts, so teams can still draft and approve X posts but must publish each one by hand through a phone notification. HeyOrca’s X analytics ended the same day.

Which HeyOrca alternatives publish directly to X?

RecurPost, Buffer, and Publer publish to X on standard paid plans. RecurPost’s X Wallet, funded by the account from $10.80, pays X’s $0.20 per-link posting fee. Vista Social adds X for $29 per month, and Metricool sells X as a paid add-on from its $25 Starter tier.

How much does HeyOrca cost for a five-client agency?

HeyOrca costs $295 per month for five Basic workspaces at $59 each. HeyOrca’s 40 percent discount on five or more calendars reduces that to about $177, and annual billing saves a further 15 percent. HeyOrca stacks add-ons per workspace on Basic: reports at $59, inbox at $39, and listening at $39. RecurPost Agency covers the same 20-account roster for a flat $79.

Is there a free HeyOrca alternative?

Buffer and Metricool both offer free plans that work as HeyOrca alternatives for a single brand. Buffer’s free plan covers 3 channels with 10 scheduled posts per channel. Metricool’s free plan manages 1 brand with 20 posts per month, without X or LinkedIn publishing. HeyOrca’s own free tier allows 2 profiles and 15 posts per month for 1 user without approvals. RecurPost runs no free plan and offers a 14-day trial with no credit card instead. Each of these free plans fits a single-brand test rather than a client roster.

Which HeyOrca alternatives match its client approval workflow?

No HeyOrca alternative matches HeyOrca’s approval workflow exactly, because HeyOrca’s branded client portal on a custom domain has no equivalent. RecurPost runs staged approvals on a Kanban board with internal review and client review stages. RecurPost sets each stage’s timeout from 4 hours to 7 days. RecurPost’s clients approve posts or request changes from the shareable calendar without logging in. RecurPost includes the approval workflow on the Agency plan at $79 per month. Vista Social runs link-based review with multi-stage approvals from its Advanced tier. Sendible offers password-free client onboarding through Client Connect from its $99 Plus plan.

What happens when a client doesn’t approve a post in time?

RecurPost acts on a missed client approval according to the rule the account owner set for that stage. RecurPost can hold the post or approve it automatically once the timeout passes. RecurPost can also escalate the post or reschedule it. RecurPost’s default Client Review stage waits 72 hours and then moves the post one day later. HeyOrca sends reminders before the publish time and leaves the next step to your team.

Does RecurPost have team roles and permissions like HeyOrca?

RecurPost has team roles and permissions on every plan, assigned per workspace, along with the Kanban board. RecurPost starts every account with role templates, from Contributor up to Publisher. The account owner can edit a template or build a custom role by ticking individual permissions. HeyOrca includes unlimited users. RecurPost includes 1 user on Starter and Personal and 3 users on Agency, and charges $20 per month for each extra member.

Does HeyOrca support bulk CSV upload or RSS import?

HeyOrca does not support bulk CSV upload or RSS import. HeyOrca also has no queue-based scheduling, and its bulk-create tool only places empty slots on the calendar. These HeyOrca alternatives take both bulk CSV uploads and RSS feeds:

  • RecurPost
  • Publer
  • Sendible
  • Metricool
  • Vista Social

What do HeyOrca’s add-ons cost on the Basic plan?

HeyOrca’s Basic add-ons cost $59 per workspace per month for Social Reports. HeyOrca charges $39 each for Social Inbox and Social Listening. HeyOrca Basic at $59 with all three add-ons totals $196 per workspace. HeyOrca’s $196 total is $47 more than its $149 Pro plan, which includes all three. Any HeyOrca Basic workspace needing two or more add-ons costs less on Pro.

Try RecurPost

RecurPost’s Agency plan covers 20 social accounts for $79 per month, with client workspaces and 3 team members included. RecurPost bills per social account, so leaving HeyOrca’s per-workspace pricing keeps the bill flat as the client list grows.

  • RecurPost runs approval stages on a Kanban board.
  • RecurPost acts on a missed approval deadline by holding, escalating, auto-approving, or rescheduling the post.
  • RecurPost includes team roles, custom permissions, and the Kanban board on every plan.
  • RecurPost’s clients approve posts or request changes from the shareable calendar without logging in.
  • RecurPost onboards clients through password-free invites.
  • RecurPost publishes to X on every paid plan, and the X Wallet, funded by the account from $10.80, pays the per-link fee.
  • RecurPost takes bulk CSV uploads and RSS imports on every paid plan.
  • RecurPost adds team members at $20 per month and social accounts at $4 per month.
  • RecurPost offers a 14-day free trial with no credit card and a 30-day money-back guarantee.

RecurPost does not include unlimited users, a branded client portal on a custom domain, or social listening. An agency with one to three clients, many internal reviewers, and no X needs pays less on HeyOrca.

See the RecurPost social media scheduler for the full product.
